CRM buyer's guide for small and mid-sized businesses
What a CRM should do for a growing team, how pricing really works, and the questions to ask before you commit.
A customer relationship management system is only as good as the data your team puts into it. The best CRM for you is the one that makes data entry nearly effortless and turns it into decisions: which deals to chase, which to drop and what revenue to expect next quarter.
Signs you need a CRM
- Leads arrive through several channels and some are never followed up.
- Pipeline reviews depend on someone's spreadsheet.
- When a salesperson leaves, their relationships leave with them.
- You cannot say what your win rate or average sales cycle is.
Core capabilities
| Capability | Why it matters |
|---|---|
| Email and calendar sync | Captures activity automatically so reps do not have to log it. |
| Custom pipeline stages | Mirrors how you actually sell, not a vendor's default. |
| Automation | Creates follow-up tasks and moves deals when conditions are met. |
| Reporting and forecasting | Shows conversion by stage and expected revenue. |
| Integrations | Connects marketing, billing, support and chat tools. |
| Mobile app | Lets field teams update deals between meetings. |
How CRM pricing works
CRM is almost always priced per user per month, often with free or entry tiers that limit users, records or automation. The jump between tiers can be steep because automation, forecasting and advanced permissions are deliberately placed higher. Budget for setup too: data cleanup, imports, custom fields and training commonly add a meaningful share of the first-year licence cost.
Common mistakes
- Over-customising on day one. Start with a simple pipeline, then add fields as real needs appear.
- Importing dirty data. Deduplicate and archive stale contacts first.
- No owner. Someone must be accountable for the CRM's health.
- Ignoring adoption. If managers run reviews from the CRM, reps will keep it updated.
