How to respond to negative reviews (with templates)
A calm, five-part framework for replying to critical reviews that protects your reputation and often wins the customer back.
A negative review is a public conversation with two audiences: the unhappy customer and every future customer reading over their shoulder. Your reply is written mostly for the second group. Handle it well and a one-star review can build more trust than ten five-star ones.
The five-part response
- Thank them. They took time to tell you something you needed to know.
- Acknowledge the specific problem in plain words. Generic apologies read as copy-and-paste.
- Take responsibility for your part without arguing about theirs.
- Move the resolution offline with a named contact or direct line.
- Close with intent — what you are changing, or that you want the chance to fix it.
What not to do
- Do not argue facts publicly, even if you are right.
- Do not reveal private details such as order contents, health information or account history.
- Do not offer compensation in exchange for removing or changing the review.
- Do not reply in anger. Wait an hour, draft, then have someone else read it.

Service fell short
Hi Sam, thank you for telling us about this. We're sorry your appointment started 40 minutes late — that isn't the experience we want for anyone. Our manager, Priya, would like to make it right; please reach her directly at the number on our website. We've also changed how we schedule Friday afternoons so this doesn't happen again.
Billing dispute
Thank you for raising this, Alex. Unexpected charges are frustrating and we want to understand exactly what happened. Please contact our billing team with your account email so we can review the invoice line by line and correct anything that's wrong.
Review you believe is not from a customer
Thank you for your feedback. We can't find a record of your visit under this name, and we'd like to look into it. Please contact us with any details you can share so we can understand what happened.
If a review breaks platform rules — it is spam, from a competitor or contains abuse — report it through the platform's official process instead of debating it in public.
Speed matters
Aim to respond within one to two business days. Fast replies signal that a business is attentive and can stop a complaint from escalating to other channels.
